It is refundable if there are no damages or extra cleaning required after your stay. We require you send us an image of your ID that matches the details on the signed contract. If you book through airbnb, we will email you a rental agreement which must be signed and returned within 48 hours, or if less than 24 hours before arrival, you must return a signed contract immediately or we may cancel your reservation. Village Location: There are 20+ fantastic restaurants nearby. Walk to pizza, burgers, Thai, crepes, Poki bowl, Himalayan, fast food, sandwich shop, steak house, Mexican, barbecue, Chinese, Indian, sushi, ice cream, candy shop, Hawaiian, tacos, pancakes, brew pubs and more! CHECK IN: 4pm - 9pm We check your ID and give you code to entrance door. CHECK OUT: Before 10am EARLY CHECK IN / LATE CHECK OUT We are a small family run lodge and have to clean 14 rooms, multiple kitchens and baths between 10am-4pm. We never know in advance if early or late check in will be available. After booking, you can request early arrival/late check out in our MyTrips app. (There may be a fee if we approve your requested) Please don't show up early without arranging with us. There is no lobby to wait if we aren't there to check you in. QUICK DETAILS Beds are made with sheets, blankets, and pillows. Everyone need to bring a bath towel for showers Bathrooms are stocked with toilet paper and paper towels. Please bring everything else you will need. No Pets. Quiet Hours 10pm - 8am. No Smoking/Vaping inside any buildings. (Outside smoking area) We have 24hr security camera recording of our parking lot and building entrances for everyone's safety. Before we can check you in and give you door entrance codes, you must show/send us a valid ID and credit card. As stated in the listing, a refundable security deposit is due before arrival. Buildings have central heating fixed around 70F / 21C . Please buy your own travel insurance if you wish to be covered for unexpected events like, illness, injury, cancelled flights, or lost or stolen items. We cannot help with refunds for situations out of our control. Ski Resorts We are 1 mile from Snow Summit. 2 miles to Bear Mountain. There is a free city shuttle just around the corner every 30 minutes. Midweek non holiday there is free parking at the base area. On weekends we suggest driving to the free resort parking and taking the shuttle bus. *subject to change: check the resort website for up to date information. There is kids playground next to the parking lot that guests in the house next door may use as well. There is use of the backyard with fire pit and picnic tables. The parking lot is shared with the other building on our property. But there is overflow parking available next door. We can direct you at arrival. *** Things to Bring Group Checklist *Group Leader: To check in, you must have Valid ID, DL or Passport & Major Credit Card (per contract pg.2) *Bring bath towels. We do not provide towels. - Beds are made with sheets, pillowcases, and blankets. Please do not bring sleeping bags. *Toilet paper, paper towels, napkins, garbage bags (18 & 30 gallon). - Each bathroom has a roll of TP, paper towels, and garbage bag in place to get you started, but you must restock yourselves during your stay. *Cleaning supplies anticipated to be needed. (You may use whatever cleaning supplies are under sinks, but we can’t guarantee we will have what you need) *Paper plates, bowls, silverware, tablecloths, plastic wrap, aluminum foil. - Our building is stocked with many place settings and some cooking supplies which you are welcome to use, but with guests coming and going, it's not possible for us to keep track of all kitchen items. *Please bring everything you anticipate needing for cooking and serving. (Cookie Sheets, Large pots and pans, serving platters, etc) *Shampoos, soaps, toiletries, First Aid Kit *Drinks, coolers and ICE! *Ping Pong Paddles and Balls. We have an assortment of old paddles and usually a few balls, but they are usually well worn from heated gameplay. Ping Pong is outdoors and seasonal (weather permitting) *Boom Box or Ipod + bluetooth speakers. We don’t provide audio equipment. *Alcohol is allowed if your group leader allows it. CHECK-IN TIME is AFTER 4 P.M. AND CHECK-OUT is before 10 A.M. 2. CHECK-IN PROCEDURE - We will meet you at the property and walk you through explaining how everything works. (Heat system, alarm, where to put garbage, etc. We will show you what is expected to be cleaned up before you leave to avoid extra cleaning charges. The group leader or person signing the rental contract at check-in must be the first to arrive. We CANNOT let anyone into the house until the leader has arrived and the deposit is in place. 3. KEYS - No exterior keys are needed for our rental houses. Just enter 4 digit code and turn the handle downward. The code to outside doors will be given at check-in. Please make sure keycode door knobs are locked at night for your safety! Most bedrooms use electronic keycode door locks. Codes to be given at check-in. The group leader will receive a master set of keys to all doors. If this keychain is lost the charge is $5 per key to replace them. 4. STORM/DISASTER POLICY – No refunds will be given for storms or road conditions. Mountain roads can be curvy and steep. Four-wheel drive and/or tire chains may be required in Winter. Auto parts stores at the base of mountains sell chains. 5. INCLUSIVE FEES – Rates include a one-time linen setup. Bottom sheet fitted to mattress. Top sheet and blanket folded on bed. One pillow and blanket per bed are provided. Propane BBQ grill with full propane tanks is included. Fire pit is available! Bring your own wood/kindling. Wood is available to purchase for $5 per bundle at a gas station 1 block away. 6. WATER AND SEPTIC – Tap water is safe for drinking and cooking. The sewer line system is very effective; however, it will clog up if improper material is flushed. DO NOT FLUSH anything other than toilet paper. No feminine products should be flushed. If it is found that anything other than toilet paper has been flushed and clogs the sewer system, the Tenant will be charged damages for the full amount of the repair bill. 7. KITCHEN POLICIES - Please use the exhaust fan above the range when cooking. The fan vents all steam and captures vaporized grease. DO NOT PUT COOKING OIL, MEAT FAT, OR GREASE DOWN KITCHEN SINK DRAIN! All food waste, oils, and/or grease should be allowed to cool and disposed of in plastic bags in outside garbage cans. Garbage cans are located throughout the property. 8. Landlord shall provide pots, pans, and cooking utensils. (Feel free to bring your own group cookware) Landlord shall provide brooms, dustpans, and vacuum for carpets. Tenants should provide all other items needed, such as: plastic cups, knives, forks, spoons, dishes, napkins, paper towels, TOILET PAPER, shampoo, soaps, dish soap, laundry detergents, BBQ matches, and other consumables. No reimbursement will be made for unused consumables left at the premises. If consumables exist at the premises when the Tenant arrives, Tenant is free to use them. 9. There shall be no smoking inside the premises. Smoking is permitted outside the house. 10. Fire extinguishers are located on every floor. (near the kitchen areas, at top of stairs on the third floor, and in the downstairs living room. The fire extinguishers were fully charged at last inspection. It is the duty of the tenant to inform management immediately should a fire extinguisher become less than fully charged. Tenant agrees to use the fire extinguishers only for true emergencies. There is a $50 fee for discharged fire extinguishers. 11. The property has hard-wired fire alarms installed and they are believed to function properly at the time of rental. The Tenant will notify management without delay if a fire alarm “chirps” or has a low battery condition. Tenant agrees not to tamper with smoke detectors. Tenant agrees to pay $100 if Fire Alarm Pull Stations are activated inappropriately. Both houses have 24 hour alarm company monitoring for your safety. Tenants are advised that the property contains a gas oven and cooktop, gas heating, gas grill, and other gas powered items and will seek help from management if the proper operation of such items is not fully understood. a) Central Heating is forced air. It is controlled by a thermostat in the main hallway. Heat should not be set above 75 and fan setting shall be “Auto”. Doors and windows shall be closed when heating is in operation. Tenants are informed that the house has no air conditioning. b) Turn the kitchen cooktop knob to light and you will hear electric clicking which ignites flame. Once the flame is lit, turn gas down until the clicking stops. c) Gas oven in the kitchen will ignite itself and heat to the temperature you set. d) Gas BBQ has an electric igniter but you can also use matches to light. e) Coin laundry is available in the laundromat around the corner. 13. Fireplace - We do not offer indoor fireplaces. Both houses have central heaters now. We have a portable raised outdoor fire-pit that can be used in the backyard. (When local fire danger is low) Please ask for assistance in setting this up. When unattended, the fire-pit must be extinguished with hose until not smoking. 15. Tenants shall provide their own security while at the property by locking doors, windows, cars, and any other measures tenants deem necessary. We are not responsible for lost or stolen items. We have 24 hour video recording on all entrances. Our neighborhood is safe, but keeping things locked is a best practice. 16. It is the Tenants’ responsibility to learn about safety precautions and safety procedures concerning swimming in or around the lake. Tenants agree to have a responsible adult supervising minors while they play near or swim in the lake. Tenants are hereby notified that the lake can be dangerous. Tenants accept fully the risks involved with lake use. Tenants are further notified that walking on lake ice is illegal and extremely dangerous and subject to fines. Tragic accidents of people falling through lake ice and drowning happen each winter. “Swim Beach” is available in Summer and is manned by lifeguards. 17. The Landlord has the right to inspect the premises without prior notice at any time to enforce the terms of this agreement. Should the Tenants violate any of the terms of this agreement, the rental period may, at Landlord’s discretion, be terminated immediately. Tenants shall vacate the premises at the expiration time and date of this agreement. Tenants waive all rights to due process if they fail to vacate the premises upon termination of the rental period. 18. Most TVs in the building are ROKU Smart TVs with apps like Netflix, Disney Plus, etc. (Tenants must use their own subscription accounts on TV apps.) Please ask in advance if certain channels are required. 19. High speed wireless Internet is provided as a convenience only and is not integral to the agreement. No refund of rents shall be given for outages, content, lack of content, speed, access problems, lack of knowledge of use, or personal preferences with regard to Internet service. 20 There is no wired phone service in the house. Major cell phone networks work fine at this property: (Verizon, Sprint, T-MOBILE, AT&T.) Emergency medical and police service can be called by dialing 911 on mobile phones. 21. Tenants shall maintain the premises in a good, clean, and ready to rent condition, and use the premises only in a careful and lawful manner. Tenants shall leave the premises in a ready to rent condition at the expiration of the rental agreement, defined by the Landlord as being clean and immediately habitable by the next Tenants. Tenants shall pay for maintenance and repairs should the premises be left in a lesser condition. Tenants shall pay for any damage done to the premises over and above normal wear and tear. Tenants agree that the Landlord shall deduct costs of said services from the security deposit prior to refund if Tenants cause damage to the premises or its furnishings or leave the premises unclean. 22. Tenants shall dispose of all waste material generated during the rental period in a lawful manner. Garbage cans are provided at various locations on the property for your convenience. 23. Tenants agree no animals or pets of any kind will be brought onto the premises. There is a $300 extra cleaning fee if animals enter the buildings. 24. Tenants shall not sublet the property. 25. Tenants shall behave in a civilized manner and shall be good neighbors respecting the rights of the surrounding property owners. Tenants shall not create noise or disturbances likely to disturb or annoy the surrounding property owners. Creating a disturbance of the above nature shall be grounds for immediate termination of this agreement and Tenants shall then immediately vacate the premises. Quiet hours start at 10PM and outdoor noise should be kept to a minimum. (Note: We have very few neighbors and noise is not usually an issue.) 26. Tenants agree not to access the “owner’s closet”, even if unlocked, which contains cleaning supplies and chemicals that could be hazardous to children and adults. The owner’s closet is located inside the laundry room and utility rooms. Owner’s closets are locked. 27. Tenants expressly acknowledge and agree that this Agreement is for transient occupancy of the Property, and that Tenants do not intend to make the property a residence or household. 28. Electricity and Internet/WIFI service: We occasionally experience outages that are beyond our control. No refunds or compensation will be given for any outages. Please report electrical outages to: Bear Valley Electric 29. There shall be no refunds of rents because of shortened stays or ruined expectations due to work and family emergencies or other commitments. 30. Only legally owned and permitted firearms shall be allowed on the premises according to State and local laws. 31. Tenants agree that Fireworks and other hazardous materials shall not be used in or around the property. Fireworks are illegal in Big Bear Lake, CA. 32. Tenants shall use the property for legal purposes only. Other use, such as, but not limited to, illegal drug use, abuse of any person, harboring fugitives, etc. shall cause termination of this agreement with no refund of rents or deposits. 33. Valuable items left behind by Tenants will be held for the Tenants and a reasonable effort will be made to contact the Tenants for return. If items are not claimed for longer than 6 months they shall become the property of the Landlord. The Landlord shall not be held liable for the condition of said items. 34. Tenants agree to pay all reasonable costs, attorney's fees and expenses that shall be made or incurred by Landlord enforcing this agreement. 35. FALSIFIED RESERVATIONS – Any reservation obtained under false pretenses will be subject to forfeiture of advance payment, deposit and/or rental money, and the party will not be permitted to check in. 36. WRITTEN EXCEPTIONS – Any exceptions to the above-mentioned policies must be approved in writing in advance. 37. Bed Count / Room - Tenants are advised of the following bed configuration in the houses (next page) Assumption of the Risk and Waiver of Liability Relating to Coronavirus/COVID-19 The novel coronavirus, COVID-19, has been declared a worldwide pandemic by the World Health Organization. COVID-19 is extremely contagious and is believed to spread mainly from person-to-person contact. As a result, federal, state, and local governments and federal and state health agencies recommend social distancing and have, in many locations, prohibited the congregation of groups of people. Big Bear Hostel (BBH) has put in place preventative measures to reduce the spread of COVID-19; however, the BBH cannot guarantee that you and/or any of your guests or participants (“participants’) will not become infected with COVID-19. Further, visiting the BBH could increase your risk and your group participant’s risk of contracting COVID-19. ------------------------------------------------------------------ By signing this agreement, I acknowledge the contagious nature of COVID-19 and voluntarily assume the risk that my group participants and I may be exposed to or infected by COVID-19 by attending the BBH and that such exposure or infection may result in personal injury, illness, permanent disability, and death. I understand that the risk of becoming exposed to or infected by COVID-19 at the BBH may result from the actions, omissions, or negligence of myself and others, including, but not limited to, BBH employees, volunteers, and program participants and their families. I have researched current state laws and believe it is legal for my group to congregate on contracted rental dates. I voluntarily agree to assume all of the foregoing risks and accept sole responsibility for any injury to my group participants or myself (including, but not limited to), personal injury, disability, and death, illness, damage, loss, claim, liability, or expense, of any kind, that I or my participants may experience or incur in connection with my participant’s attendance at the BBH. On my behalf, and on behalf of My Organization, I hereby release, covenant not to sue, discharge, and hold harmless the BBH, its employees, agents, and representatives, of and from the Claims, including all liabilities, claims, actions, damages, costs or expenses of any kind arising out of or relating thereto. I understand and agree that this release includes any Claims based on the actions, omissions, or negligence of the BBH, its employees, agents, and representatives, whether a COVID-19 infection occurs before, during, or after participation in any BBH cabin / retreat center lodging rental. CANCELLATION When you reserve our lodge, we make those dates unavailable to other groups. If you cancel, it's often very hard for us to rent to another group. Therefore we ask that you are 100% committed to the dates you reserve. In the event you cancel, we may, at our discretion, refund part of your rental amount if we are able to rent the canceled dates to another group. There is always a minimum 15% cancellation fee. We prefer never to be in this situation, but, when it has happened, we have often been able to rent canceled dates and refund significant amounts of the canceled rental. We try to make everyone happy and not lose out on our rental income. In the event of an accidental double booking, the group we first contracted with has priority. Although it's never happened, we reserve the right to cancel this reservation for any reason if we can’t host your group as contracted (I.e. flood, fire, double booking, etc.) and you will receive only a full refund of monies paid to us. Early departure: No refunds can be made for early departures at any time regardless of reason. The Tenants and Tenants' Guests shall hereby indemnify and hold harmless the Landlord against any and all claims of personal injury or property damage or loss arising from use of the premises regardless of the nature of the accident, injury or loss. Tenants expressly recognize that any insurance for property damage or loss which the Landlord may maintain on the property does not cover the personal property of Tenants, and that Tenants should purchase their own insurance for Tenants and Guests if such coverage is desired. By accepting this reservation, it is agreed that all Tenants are expressly assuming the risk of any harm arising from their use of the premises or others whom they invite to use the premises. We recommend you obtain your own independent travel/trip insurance in case you need to cancel your trip due to unforeseen circumstances. We do not provide trip insurance and we will not give you a refund if your plans change and you can’t make the trip. Please buy trip insurance if you want to be covered for unexpected cancellations. SECURITY DEPOSIT - The Security Deposit is required to be paid at least 2 weeks before your arrival date. In addition, a valid major credit card with the renters name on it must be presented at check in. We may put a temporary authorization/charge on your card and any damage or losses may be charged to this card. (Prepaid credit cards, debit and gift cards are not accepted.) Refundable deposits are NOT applied toward rental amounts. This deposit is fully refundable if there are no issues and provided the following provisions are met: • No damage is done to the unit or its contents. • No charges are incurred due to contraband, pets or collection of rents or services rendered during the stay. • All debris, rubbish and discards are placed in garbage cans / designated area. • Dishes are cleaned and returned to cupboards. • Keys (if any) are left on the kitchen table / returned to the manager and the unit is left locked. • All charges accrued during the stay are paid prior to departure. • No linens are lost or damaged. • The rules sheet given below and at check in is obeyed. • No early check-in or late checkout. (Other than pre-arranged by email) (We reserve the right to charge a late check out fee of $100/hour for each hour after the 10am checkout time, or charge you for another night at the nightly rate on page 1.) • The renter is not evicted by the owner (or representative of the owner), by local law enforcement, or by the security company employed by Big Bear Hostel. • This is not a college party rental. If your group “parties hard”, causes noise disturbances to the neighborhood, damages property, spills drinks, makes a big mess and/or doesn’t clean up after themselves, this is not considered normal wear and tear. Expect some or all of your deposit to go toward extra cleaning / repairs. If we can’t rent the house out for a period of time after you leave, you will be responsible for loss of rents. We may charge your card or sue you for excessive damages, cleaning, or repairs. Deposit refunds are usually processed and mailed within (20) days of departure. The amount refunded is completely at the landlord’s discretion based on the stated rules and conditions herein. Most of our groups are delightful and respectful of our property and there is no need to keep any deposit monies.
